“We needed to unify our complete Patient Experience, from first discovery through ads and organic content, to patient booking, visit follow-ups, and the full Patient Lifecycle journey.”— Nick Cesena, VP of Finance and Rev Ops, Korb Health Group
Korb Health is a rapidly growing telehealth clinic focused on direct-to-consumer services. Its business model is straightforward: invest in advertising, attract prospective patients to the website, secure bookings, and encourage repeat visits.
However, two critical steps in this process were not functioning. Prospective patients could not reliably book appointments online, and the marketing team lacked visibility into patient identities. Cloud Nerd was engaged to address both issues.
The project demonstrated to Korb’s leadership that the business had outgrown its clinical platform. Korb has engaged Cloud Nerd for ongoing support.
Korb did not require additional software licenses. Instead, it needed its existing systems to work together effectively. Cloud Nerd delivered a fixed-scope solution that integrated booking, clinical records, calendars, and marketing into a unified system, empowering Korb’s team to maintain control.
Challenge
Korb invested significantly in driving traffic to its website, but the booking experience was ineffective once visitors arrived.
Many prospects abandoned the booking page because the website could not display reliable appointment times. Users encountered obstacles during booking and left, resulting in wasted advertising spend.
Operational staff could not determine appointment availability, leading to double bookings and the need for manual corrections.
Marketing relied on outdated data, as patient information was uploaded to HubSpot weekly via spreadsheets. With a large patient base, the team could not execute timely follow-up campaigns because the data was often a week old and inaccurate.
Korb’s clinical software was designed for clinic operations, not for consumer marketing. The business had outgrown its capabilities.
Solution
Cloud Nerd developed two integrated solutions.
Korb now owns its patient booking experience. The website offers two clear options: Book My Appointment and Speak To Someone. Prospects enter their details, select an available time, complete telehealth consent, and receive confirmation. Appointments are automatically reflected in the clinic’s system and staff calendars, eliminating manual entry and uncertainty about availability.
Operational staff, rather than developers, now manage business rules. Through an intuitive admin portal, Korb’s team controls visit durations, program offerings by location, referral guidelines, and policies such as same-day booking restrictions. When business needs change, operations can update rules immediately.
A live data feed now connects the clinic to HubSpot. Patient, appointment, and billing information flows continuously from the clinical system, cleaned and organized to meet the needs of Korb’s revenue team. The weekly spreadsheet process has been eliminated. Marketing and RevOps can now create automated patient journeys based on accurate, up-to-date information.
Results
- Patients now self-schedule online. Book My Appointment has become Korb’s primary method for new bookings, so advertising spend leads to confirmed visits.
- One calendar, shared by clinic and staff. Booked visits appear in the clinical system and staff calendars at the same time.
- Marketing runs on live clinic data. HubSpot updates from real patient activity, so lifecycle campaigns replace weekly spreadsheet uploads.
- Ops owns the rules. Providers, locations, referrals, and booking policies live in an admin portal — no developer ticket for every change.
